Sending & Receiving
Your mailbox lives in the web app at email.singlesign.com — and you can bring it to your phone too (SingleSign Mail on Your Phone). Here's how day-to-day mail works.
Composing a message
- Click "Compose".
- Enter one or more recipients, a subject, and your message.
- Click "Send".
You can email any address — recipients don't need a SingleSign account or a SingleSign Mail address.
Replies and threading
Messages and their replies are grouped into conversations (threads). When someone replies to your message, their reply appears in the same thread rather than as a scattered new message, so a back-and-forth reads top to bottom in one place.
You can move a whole conversation from the list — to Trash or Spam, for example — and undo the move right after if you change your mind.
Remember: replying to someone approves them automatically if they weren't approved already — people you've written to never sit in the Screener.
Attachments
Attach files to any message — click to pick them, or simply drag and drop files onto the message you're writing. Attachments can total up to 25 MB per message (the combined size of all attachments on one message, not a per-file limit).
If your attachments push a message over the limit, you'll see a warning before sending — trim the attachments or split them across messages.
Tags
Tags organize your mail without moving it out of your inbox:
- Create a tag with a name and color; it appears in the sidebar with its own unread count.
- Add automatic rules — under "Automatically tag mail", new mail matching any sender or subject rule gets the tag, and you can run the rules over mail already in your mailbox.
- From any conversation, "New tag from this conversation" creates a tag pre-filled from the person you're talking to.
The All mail view
"All mail" is one stream over everything outside Trash and Spam — inbox, sent, screened, all together. A small chip on each row tells you where a message actually lives, and actions you take follow the message's real location.
Search — messages and people
Search finds your mail, and it also finds people — including teammates from your organizations, who show up in search automatically the moment they join your organization. No address book to maintain.
Knowing what happened to mail you sent
Sent messages carry a quiet metrics strip — something like "Opened 3 times (2 unique) · 1 link click". Expand it to see:
- Opens — when the message was opened, by which recipient (open tracking depends on the recipient loading images, so "no opens" doesn't always mean unread).
- Link clicks — which links were clicked, and how many times.
- Delivery — if a message bounced, was blocked, or was marked as spam, the message itself shows an alert with the reason, and a notification appears under the bell icon in the top bar. You don't have to decode a cryptic bounce email.
Away auto-reply
Going on vacation? Turn on the away auto-reply in Settings → Away: set a subject and message, and optionally a start and end date. While it's active, each sender gets one automatic reply per conversation — no reply storms.
Sending limits
To keep SingleSign Mail a bad place to run spam from, sending limits apply to every mailbox:
- From the web app, you can send up to 30 messages per hour, to at most 50 recipients per message and 200 recipients per day.
- New mailboxes have tighter limits during their first week (20 recipients per day). These relax automatically as your mailbox establishes normal use.
- Mail apps connected over IMAP/SMTP have their own limits — see Privacy & Protections.
If you hit a limit, sending pauses until the window resets — your drafts are safe, and nothing is lost. These limits are designed to be invisible to normal personal use.
